1. Highlights and Objectives
- Dynamic Area Management and Variability of Utilization.
Commercial properties are in particular shopping-centrer, office buildings, business and industrial parks, storage warehouses as well as residential houses. While residential properties are static with regard to area utilization, for commercial properties there might be many changes in usage and therefore also in area.
- Freedom of Contract.
Lease contracts for commercial properties are concluded between businessmen with entire freedom of contract. A Software for commercial property management must be capable of handling lots of specific stipulations.
2. Property Structure in iMS

The main level of the hierarchy in iMS is the property itself. These are the properties, which are managed by iMS. An example for a property is a shopping mall or an office building.
Properties can have parts. These might be buildings or parts like malls etc. On this level we assign the owners of the property which is important for diligent accounting. It is possible, that a shopping center consists of several buildings with different owners. Management however is done for the entire property.
Within the property parts there are different renting units, e.g. shops, storage, office and common areas, which are let entirely or in parts to several tenants.
These renting units can have different dimensions, which are relevant for renting or service charge allocation. Examples are main space, ancillary space, air conditioned space etc.
The detailed mapping of the structure of the property, its parts and renting units with spaces and correct dimensioning is the foundation for iMS.
3. The iMS Solution

Contract Management
The rental agreements with all payment terms, indexation, stepped rent, revenue dependant rent are recorded here. Also deposits, options an arbitrary follow-ups can be documented. Through the automatic interface all payments are transferred to the module accounting.
Cost Management
All agreements, generating costs for the property, are recorded here. The interface to accounting generates the correct accounts payable.
Accounting
Incoming invoices are recorded here as accounts payable and are transferred to the module service charge allocation to be billed to the tenants.
Service Charge accounting
is based on contract management, where renting units and tenants and the contractual base for service charge distribution are recorded. The outcome of the calculation is transferred to accounting as accounts receivable and accounts payable respectively.
Cost Controlling and Maintenance
According to DIN 276 developments or bigger maintenance tasks are planned. During placing the orders the particular order is associated to a budget position. When the invoice is received, it will automatically be connected to the order and hence to the budget. So each invoice can at any time be compared to placed orders, received invoices and payment.
